Receptionist / Administrative Assistant

Sassetti is currently seeking a a professional, organized, and friendly Receptionist/Administrative Assistant to serve as the first point of contact for our accounting firm. This individual will play a vital role in creating a welcoming and efficient front-office experience for clients, vendors, and staff. The ideal candidate will possess excellent communication skills, strong attention to detail, and a customer-service mindset, along with the ability to handle confidential information with discretion.
This is an full-time, non-exempt, hourly position with a 5 days a week onsite requirements.
Receptionist/Administrative Assistant Responsibilities:
Client & Front Desk Support:
- Greet clients and visitors professionally as the first point of contact.
- Manage multi-line phone system; route calls and handle front desk inquiries.
- Maintain client confidentiality and deliver consistent, high-level service.
- Monitor daily attendance and track late arrivals per office protocol.
Mail, Deliveries & Document Handling:
- Sort and distribute incoming mail; manage outgoing UPS/USPS shipments.
- Check lockbox and fax machine daily, with increased frequency during tax season.
- Log, scan, and route incoming client documents into internal systems.
- Record and maintain daily check log for accounts receivable tracking.
Administrative & Office Support:
- Support data entry, scanning, copying, filing, and packet preparation.
- Maintain accurate and organized client files, both digital and physical.
- Assist with calendar scheduling and meeting coordination via Outlook.
- Coordinate catering and client meeting logistics as needed.
- Update shared copier email lists and manage internal document bins.
Facilities & Supply Management:
- Keep reception, kitchen, and meeting areas clean and stocked.
- Refill copier/printer paper daily and increase checks during busy seasons.
- Monitor and reorder office and copier supplies in a timely manner.
- Assist with daily closing duties including lights and door checks.
Professional Expectations:
- Be punctual, dependable, and detail-oriented in daily responsibilities.
- Remain flexible and assist with additional administrative needs as required.
- Maintain attentiveness at the front desk; limit distractions during work hours.
Receptionist/Administrative Assistant Qualifications:
- High school diploma or equivalent required; additional education or certification in office administration is a plus
- 1–2 years of experience as a receptionist or administrative assistant, preferably in a professional services or accounting firm
- Proficient with Microsoft Office Suite (Outlook, Word)
- Experience with multi-line phone systems
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- High level of professionalism and discretion with strong customer service orientation
- Ability to work independently and collaboratively
- Comfortable working in a fast-paced, deadline-driven environment
- Maintains composure and professionalism under pressure
Receptionist/Administrative Assistant Working Conditions:
- Standard office environment with regular business hours.
- Occasional extended hours during tax season.
- Some light lifting of supplies or documents (up to 20 lbs) may be required.
Receptionist/Administrative Pay Range: $18.65 per hour to $28.03 per hour
